Rental Terms

These terms apply to equipment rentals from Peace Region IT Inc. A rental is confirmed only after we approve the request and provide the final price and payment instructions.

Pricing and security deposit

The approved rental charge, applicable taxes, and payment instructions will be confirmed before payment. Equipment rentals require a refundable security deposit equal to 35% of the approved rental charge before tax. After a timely return and inspection, the deposit will be submitted for refund within 3 to 5 business days, less any documented charges for damage, loss, missing accessories, or overdue return. After we submit the refund, the customer's bank or card issuer may require an additional 5 to 10 business days to display the credit.

Cancellations

Please provide at least 24 hours' notice before the scheduled pickup time if you need to cancel. Cancellations made with at least 24 hours' notice receive a full refund of amounts paid. For cancellations made with less than 24 hours' notice, Peace Region IT Inc. retains a cancellation fee equal to 15% of the approved rental charge. The remaining rental payment and the full security deposit will be refunded if the equipment has not been picked up. Once equipment is picked up, the rental charge is non-refundable and the deposit is handled after return and inspection.

Pickup, return, and care

  • A valid government-issued photo ID is required at pickup. Business renters must identify an authorized person collecting the equipment.
  • Equipment, supplied accessories, and visible condition will be recorded at pickup and return.
  • Customers must return equipment and all supplied accessories by the agreed return time.
  • The renter is responsible for keeping the equipment secure and using it with reasonable care.
  • Please report damage, loss, theft, or a technical issue promptly.
  • Late returns may be charged at the approved daily rental rate for each additional day or part-day, subject to applicable law.
  • The renter is responsible for reasonable repair or replacement costs for damaged, lost, stolen, or unreturned equipment and accessories.
  • Returning equipment early does not create a refund for unused rental time.

Student pricing

Student pricing may be available for eligible equipment. A valid student ID or other verification may be requested before approval.
